How FPV Industries eliminated manual quote entry in its ERP
Every quote arrived as a PDF and left as manual data entry. Tandem built a workflow that reads, interprets and structures the data all the way to the ERP integration file, in 30 seconds and for about 15 cents.

Read, interpret, re-enter: the quote as the bottleneck of the sales chain
Every quote arrives as a PDF and has to be read, interpreted and then manually re-entered into the ERP: extracting products and dimensions, matching them to the catalogue, mapping dozens of options to the right integration tags, checking interior and exterior colour consistency, then generating a structured file for the ERP. A long, technical and error-prone process, driven by dense business logic: multi-leaf products, conditional options, a rule grid of close to a thousand lines.

A dense matching grid, with multi-leaf products and conditional options, to be applied quote by quote.
manual re-entry
Every PDF quote was read, interpreted and then typed back into the ERP by hand, product by product and dimension by dimension.
of options to map per quote
Each option had to be tied to the exact integration tag the ERP expected, with no errors and no omissions.
FPV Industries, FranceFPV Industries
FPV Industries is a French manufacturer of industrial joinery in PVC, aluminium and wood, with technical multi-leaf products, frame systems and a wide range of conditional options.
The company runs on a proprietary business ERP, fed through a product integration web service. Quote processing is a core link in its sales chain: it determines how fast the company can answer a customer, and it was where all the manual work piled up.
Automate the time sink, leave pricing to the ERP
The choice was deliberate: the workflow recalculates nothing. It focuses on extraction, mapping and reliable data structuring. Pricing logic and axis calculations stay with FPV Industries' own systems, which keep full control of them.
Mapping the catalogue and the matching rules
The product catalogue and the business rule grid were restructured into a reference base the workflow can query directly.
Reading and extracting the quote
A webhook triggers processing on arrival. An OCR engine reads the PDF, then a chain of LLM agents detects the products and their dimensions.
Catalogue matching and option mapping
Each product is matched to the catalogue, each option tied to the integration tag the ERP expects. The workflow automatically checks colour consistency across products.
Structured output to the ERP
Mapped and unmapped items are aggregated, then a bespoke JSON payload is sent to the ERP web service, which produces the integration file.
30 seconds per quote, for about 15 cents
A PDF quote goes in, an ERP-ready JSON comes out. Extraction, catalogue matching, option mapping and consistency checks run back to back with no re-entry. Pricing and ERP calculations stay under FPV Industries' control: the workflow secures the most time-consuming part, reading, understanding and structuring every quote.
